Food Line AI

Buyer’s checklist

Replacing your food distribution ERP?

Switching ERPs is the biggest software decision a distributor makes. This page covers what to check in any replacement, how Food Line AI handles each point, and what the move involves.

What to check in any replacement

Use this list with every vendor you evaluate, including us.

  • Catch weight and lots. What to look for: Ordered, shipped and invoiced weight tracked separately, with lot control and traceability. How Food Line AI handles it: Catch weights tracked at each step, FEFO and FIFO lot control, backward and forward traceability with recall drills.
  • Order guides and pricing. What to look for: Customer order guides, price levels, contract pricing, specials and quantity breaks carried over intact. How Food Line AI handles it: All migrated, and versioned so you can see what a customer paid and when.
  • Customer online ordering. What to look for: Online orders land in the ERP with no import, sync or re-keying. How Food Line AI handles it: The branded online store runs on the ERP record. An online order is already a sales order, checked against stock, credit and cutoff.
  • Where it runs. What to look for: Works from the office, the warehouse floor and the road without remote desktop. How Food Line AI handles it: Runs in the browser on any device.
  • Accounting. What to look for: Works with the accounting system you already trust. How Food Line AI handles it: QuickBooks stays your book of record and receives balanced batches.
  • Migration. What to look for: Items, customers, vendors, pricing, open orders and history moved by the vendor, with the old system available until cutover. How Food Line AI handles it: 3 to 4 business days on clean data; cutover gated on checking the migrated data.

What the move looks like

  • Source review: we look at your current data and show you the plan before touching anything.
  • Extract and convert: items, customers, vendors, price lists, open orders, lots and history, with units, pack sizes and duplicates cleaned up.
  • Pilot: a small group goes live first while your current system keeps running.
  • Cutover: when the migrated data checks out, the rest of the team moves over.

When to stay where you are

If your team is productive on your current system, you want the general ledger inside your ERP, and online ordering is not a priority, staying may be the right call.

Will we lose our history?
