1. Who we are and how to reach us

Food Line AI is operated by ProQube AI Technologies ("we", "us", "our"). We build an autonomous ERP platform for food and beverage distributors.

2. Categories of data we collect

Site visitors

When you browse foodlineai.com, we collect device and browser information, IP address, pages visited, and referring URLs through PostHog analytics. The legal basis is our legitimate interest in understanding how visitors use the site.

Demo requesters

When you submit a demo request, we collect your name, work email, company name, role, number of locations, anything you tell us about your challenges, and the plan details you selected. We also link your name, work email, company, role and number of locations to your PostHog analytics record, so your visits to this site before and after the request are connected to you. Your free-text answer is never sent to PostHog. The legal basis is your consent and our legitimate interest in responding to your inquiry.

Customer users (controller data)

When you create an account through Clerk, we collect your name, email, and authentication credentials. We are the controller for this data.

Customer operational data (processor data)

When a distributor customer uses the platform, they enter orders, inventory records, routes, invoices, and other operational data. We are the processor for this data, acting on the customer's instructions. The customer remains the controller and determines what data enters the system.

3. How each category is used

Site visitor data is used to understand traffic patterns and improve the website. Demo request data is used to respond to your inquiry and follow up about our services; linking it to your site visits shows our team which pages you read, so the follow-up is relevant. Customer user data is used to authenticate access and manage accounts. Customer operational data is processed solely to provide the ERP platform services as instructed by the customer.

4. AI processing

Food Line AI uses large language models to power the Copilot and automated Routines within the platform. Customer operational data may be sent to our model provider for inference. We do not use customer data to train models, and we are confirming upstream retention terms with our model provider. For full details on how AI is used, see our Responsible AI page.

5. Sub-processors

We share data with a limited set of sub-processors who assist in delivering the platform. Each sub-processor is bound by contractual obligations to protect your data. For the current list, see our Sub-processor List.

6. Retention

We retain data only as long as necessary for the purposes described in this policy. Demo request information is retained for up to 24 months. Customer operational data is retained for the duration of the customer relationship plus a reasonable export window. For detailed retention schedules, see our Data Retention and Deletion page.

7. Your rights (United States)

Depending on your state of residence, you may have the right to know what personal information we collect, request deletion of your data, opt out of the sale or sharing of personal information (we do not sell personal information), request correction of inaccurate data, and receive your data in a portable format.

8. Your rights (outside the United States)

If you are located outside the United States, you may have additional rights under applicable data protection laws, including the right to access, rectify, erase, restrict processing, object to processing, and data portability. To exercise these rights, contact privacy@foodlineai.com.

9. Children's data

Our services are directed to businesses, not individuals under 18. We do not knowingly collect personal information from children. If we learn that we have collected data from a child, we will delete it promptly.

10. Security

11. International transfers

Your data may be transferred to and processed in the United States, where our infrastructure is hosted. We rely on standard contractual clauses and other appropriate safeguards where required by applicable law.

12. How changes are notified

We may update this Privacy Policy from time to time. We will post the updated policy on this page and update the "last updated" date. For material changes, we will provide notice through the platform or by email to registered users.
